**Administrative Courier**

GENERAL DESCRIPTION OF DUTIES AND RESPONSIBILITIES: The Administrative Courier (AC) is responsible for daily deliveries of inter-office and external mail, supplies, and prescriptions between Johnson Health Center (JHC) offices. The AC also performs additional errands as needed and administrative support to the Executive Assistant (EA). The AC will be held to the highest standard of professional conduct regarding confidentiality, presenting and maintaining a professional image and behavior, and representing the administrative office of Johnson Health Center to the public at large and internally while interacting with all staff.

SPECIFIC DUTIES AND RESPONSIBILITIES:

- Delivers mail (both internal and external), supplies, and other items between JHC locations daily.

- Maintains consistent route for scheduled deliveries and pick-ups and communicates with supervisor when delays are encountered.

- Picks up deposits from each location and documents appropriately, return deposits to finance department for processing.

- Ensures that front office tills contain appropriate change and obtains smaller denomination bills from the bank if necessary. Carries petty cash bag to provide exchange of bills at sites.

- Transports prescriptions from JHC Pharmacy to alternate JHC locations, abiding by the Alternate Site Delivery and Distribution Policy.

- Performs additional errands, such as, but not limited to: banking, obtaining appropriate signatures, taking packages to the post office, and picking up other items.

- Operates JHC courier vehicle, adhering to all traffic laws.

- Completes a vehicle check at the beginning of each shift to ensure the vehicle is in proper, safe working order.

- Obtains fuel for vehicle as needed.

- Reports any defects and/or deficiencies in the courier vehicle to the Chief Operations Officer as soon as they are noted.

- Conducts weekly and monthly vehicle inspections and records and reports any deficiencies.

- Facilitates vehicle maintenance (oil change, state inspection, wipers, and brake maintenance) when needed.

- Opens, sorts, and distributes daily mail to appropriate individuals.

- Physical attendance is an essential element and necessary to perform the functions of the job;

- Performs related administrative duties as assigned by supervisor:

- Edit and format Power Point slides, Excel reports;

- Draft new, format existing, and grammatically edit, manuals, polices or procedures, forms, and internal or external correspondence when requested;

- Book travel reservations including hotels, transportation and all corresponding incidentals;

- Perform copying, collation, folding, stapling and envelope insertion;

- Assists to maintain physical accuracy of corporate files and binders;

- Assists in event planning, set-up and breakdown;

- Provides transportation of staff upon request;

- Compiles information and drafts summary reports or briefs on various subjects upon request;

- Using Visio software creates Organization Charts and work flows.

OTHER FUNCTIONS

- Executes all activities as AC in a consistent and professional manner;

- Works effectively with all levels of community individuals, administrative and professional personnel and to creatively anticipate and solve challenges;

- Abides by the Code of Conduct Policy. Must demonstrate a personal and professional commitment to Johnson Health Center and its mission.

- Leadership may modify, add or remove any job functions as necessary, or as changing organizational needs require.

- Must possess and maintain Virginia Drivers License with acceptable driving record, as evidenced by yearly DMV reports.

- Must submit for random urine drug testing.

- Must report immediately any moving violation citations.

QUALIFICATIONS:

- 1-2 years experience in Courier or Administrative Assistant role; high school graduate or equivalent.

- Must be highly organized and efficient;

- Demonstrated ability to provide high levels of customer service;

- Demonstrated ability to work as a member of a team;

- Ability to use computer systems and Internet;

- Must have valid drivers license; and

- Must maintain an acceptable driving record, which will be periodically confirmed by utilizing an approved Department of Motor Vehicles background check.

REPORTING RELATIONSHIPS:

The Administrative Courier reports to the Executive Assistant.

EVALUATION:

The Administrative Couriers performance is evaluated annually by the Executive Assistant.

STATUS:

This position is a FLSA Non-Exempt position.

This is an OSHA low risk position.

This is an ADA negotiable position.

SALARY:

This position is a grade 2. The salary for this position is negotiated between the individual and the Director of Human Resources and/or the Chief Executive Officer.
